A custom branded check-in is an online guest registration flow that looks and sounds like your business: your name, your colors, your language, your house rules. In Spain it has to do one more thing: collect the traveler data the law requires and send it to the Ministry of the Interior. This guide shows what to brand, what you must never change, and how to set it up without adding work.
TL;DR
- Branding is the layer guests see: logo, colors, messages, house rules, guide and add-on offers. The legal data fields and the submission to SES Hospedajes stay fixed.
- Spanish law requires professional accommodation to record guest data and report it to the Interior Ministry within 24 hours, so a branded form is only useful if it feeds that report.
- A consistent, multilingual check-in reduces guest confusion, supports reviews and gives you a natural place to sell extras.
- EuroCheckin offers custom brand design for property managers and boutique hotels, from €5 per month per accommodation, with a free trial.

What “custom branded check-in” means in practice
Most hosts in Spain already ask guests for documents before arrival. The difference is who the guest thinks is asking. A generic form from an unknown tool feels like a third-party bureaucratic step. A branded one feels like part of your service, which is what it is.
A branded check-in usually has five visible layers:
- Identity: your logo and brand colors on the form and on the confirmation.
- Language: the guest completes the form in their own language, with wording that matches your tone.
- Content: your house rules, arrival instructions and digital guest guide, presented in the same flow.
- Agreements: a rental contract and house rules the guest signs electronically.
- Offers: extra services, such as late checkout or airport transfers, shown after the legal steps are done.
None of these change what the law asks of you. They change how the guest experiences it.
What you can brand and what you cannot
This is where hosts make mistakes. A form that looks beautiful but skips a mandatory field, or never reaches the official platform, leaves you exposed.
The legal base is Real Decreto 933/2021, which sets the documentary registration and reporting duties for lodging activities. The Interior Ministry explains that owners of lodging activities collect users’ data to register them and make the required communication. According to the research we reviewed, the data must be communicated within 24 hours of the booking or the start of the service, via SES Hospedajes.
So split your design decisions in two:
| Element | Can you customize it? | Why |
|---|---|---|
| Logo, colors, visual style | Yes | Pure presentation |
| Welcome message and tone | Yes | Your voice |
| House rules and guest guide | Yes | Your property, your rules |
| Add-on services shown to guests | Yes | Your commercial choice |
| Mandatory traveler data fields | No | Defined by the regulation |
| Submission to SES Hospedajes | No | A legal duty, not a design choice |
| Data protection and hosting | No | GDPR applies to everything you collect |

Why branding the check-in is worth the effort
Guests trust a form they recognize
You are asking a stranger for a passport or ID number before they have even arrived. Guests hesitate when the request comes from an unfamiliar site. When the page carries the name and look they saw in your listing and messages, the request reads as routine. Fewer guests need chasing, and fewer arrive with the registration unfinished.
It is a consistent first impression
The check-in link is often the first thing you send after a booking. It sets the tone for everything that follows: how clear the arrival instructions are, how well you communicate, how professional the stay feels. For managers running several properties, one consistent look across all of them is also simple brand building.
It supports reviews
Reviews often mention communication and ease of arrival. A clear, branded flow, with self check-in instructions where you use smart locks, removes the small frustrations that lower scores. We go deeper on this in our piece on why busy managers must prioritize Booking.com reviews.
It opens a sales moment
A guest who has just completed check-in is engaged and has their phone in hand. That is the right time to offer something useful, such as an early arrival, a welcome pack or a late checkout. How to set up a branded check-in, step by step
The order matters. Start with the legal core, then add the brand on top.
- Confirm your SES Hospedajes access. You need your registered establishment and web service credentials from the Interior Ministry’s platform. Copy them exactly as they appear, including capitals and symbols. The Ministry’s hospedajes page describes the registration and communication duties.
- Connect your properties. Add each accommodation, or each room if you run a hotel or hostel, and link your Airbnb, Booking and Vrbo listings so the check-in link reaches guests automatically.
- Apply your brand. Upload your logo, choose your colors and write the welcome message. Keep it short: guests should know in two lines why they are being asked for data.
- Set the languages. Offer the form in the languages your guests actually speak. Look at your last 20 bookings and choose from there, rather than guessing.
- Add your contract and house rules. A digital contract with electronic signature and your rules of the property, signed during check-in, saves a separate conversation.
- Add the guest guide. Wi-Fi, parking, heating, trash days, local restaurants. Put it where guests will see it right after they finish.
- Connect your smart lock, if you have one. Integration with TTLock, Nuki or Yale lets the access code arrive only after check-in is complete, which keeps the process honest and autonomous.
- Add one or two extras. Do not overload the page. Two relevant offers sell better than ten.
- Test it as a guest. Complete a booking on your phone, in a language that is not your own, and check that the report reaches SES Hospedajes.
Common errors to avoid
- Branding the form but forgetting the report. If registration data is collected and not sent, you have not met the obligation. The 24-hour period matters.
- Asking for more than you need. GDPR expects you to collect data for a purpose. Stick to the legally required fields plus what you truly need for the stay.
- Copying credentials incorrectly. A misplaced space in a web service user or password blocks the connection. Copy and paste exactly.
- Long, text-heavy rules. Nobody reads a wall of text on a phone. Use short numbered rules.
- Selling before registering. Put extras after the legal steps, never in front of them.
- Different looks per channel. If your Airbnb message, your Booking message and your check-in page all look different, guests wonder which one is real.
Hotels, hostels and apartments: different needs
A single holiday apartment needs a simple, warm flow. A boutique hotel wants a polished, on-brand experience that matches its website. A property management company wants one template across dozens of units, with the owner’s name or its own.
The common point is volume. When you manage many arrivals, manual registration stops being viable, so the branded layer must sit on top of automation, not replace it. Hotels count by room, which is why our hotel plan is priced per room, as shown below.

Our perspective: brand the experience, automate the law
We built EuroCheckin around a simple split. The legal part, reporting every guest to SES Hospedajes under RD 933/2021 and handling data under GDPR on secure infrastructure inside the European Union, should be automatic and identical for everyone. Nobody gains an advantage by being creative with it, and nobody should spend an evening typing passport numbers into a government portal.

The rest is yours. We see the check-in as the first moment a guest meets your business, not just a compliance step. So we let managers and boutique hotels apply their own brand design, add contracts, house rules and a digital guide, and offer extra services that guests pay for in seconds with Apple Pay or Google Pay.
Our advice is to start plain and refine. Get the registration flowing and verified first. Then add your logo and welcome message. Then one extra service. Hosts who change everything at once cannot tell what works.

FAQ
Does a custom branded check-in replace SES Hospedajes reporting?
No. Branding changes how the form looks and reads. The legal duty to record guest data and communicate it to the Interior Ministry remains, and the form must feed that report. With EuroCheckin, the data is sent to SES Hospedajes automatically after the guest completes check-in.
What can I customize on the check-in page?
You can customize the presentation and your own content: brand design, welcome message, language, house rules, contract, guest guide and add-on services. You cannot remove or alter the fields the regulation requires, and you should not want to.
Do I need technical skills to set it up?
No. Setup is a sequence of simple steps: connect your properties, upload your logo, choose colors, write your messages and test. Adding a new service to sell takes about two minutes and needs no IT team.
How much does it cost?
EuroCheckin for accommodations costs €5 per month per accommodation, and the hotel plan costs €3 per month per room. There is a free trial. The SES Hospedajes registration service starts from €79 as a one-off payment per accommodation.
Can guests use it from their phones?
Yes, and most will. Test the whole flow on a phone, in more than one language, because that is how most guests will complete it.
